*Indoor exhibitors will have access to the show floor at 7:30 AM on Thursday, March 19, and at 8 AM on Friday, March 20 and Saturday, March 21. Outdoor exhibitors have access to the Outdoor Burn area beginning at 7:30 AM, March 19–21.

Material Handling Notice
All advanced shipments received at the general service contractor’s warehouse, as well as shipments received onsite or driven to the convention center and/or Outdoor Burn area, will incur material handling fees charged by the official general service contractor.
Exhibit materials that can be hand-carried in one trip from a legally parked vehicle by the exhibitor will not incur material handling fees. Dollies, hand trucks, or other wheeled transport are not allowed for hand-carry items.
- Cars, mini-vans, small pickup trucks, full-size vans, and large pickup trucks requiring dock access will be unloaded for a per-vehicle-load fee.
- Vehicles larger than a large pickup, including those with trailers, will be unloaded at the main dock and charged the published per hundredweight rates.

Booth Set-Up
Advance shipments to the warehouse will be delivered to the convention center or Outdoor Burn area prior to the first published set-up time and will be available during regular set-up hours.
Set-Up Hours: 8 AM – 5 PM, daily
Exhibitors who wish to remain in the hall past these hours must request and receive an approved late stay pass. Reentry is not permitted once you leave. Please plan accordingly.
- All booths must be fully set up and ready for inspection by 5 PM on Wednesday, March 18.
- Items left in aisles after 5 PM may be removed by the general service contractor to install aisle carpet.
- NO set-up will be allowed on Thursday, March 19.

Outdoor Exhibits
- Targeted move-in for direct shipments begins Monday, March 16
- Booth installation for warehouse shipments also begins Monday, March 16
- If your booth includes a trailer or vehicle, contact Show Management to coordinate early move-in. If the trailer is not in place before regular booth set-up begins, accommodation may not be possible.
*Check the Target Floor Plan in the online Exhibitor Service Manual for your assigned target date/time. Exhibitors who miss their target date may be required to relocate and/or pay off-target charges.

Indoor Exhibits
- Linear booths will include an 8’ high back drape, 3’ high side dividers, and an identification sign with your company name and booth number.
- Booths larger than 300 sq. ft. will not automatically receive booth signage.
- Side dividers are not installed on open corners unless requested.
- First-night vacuuming is included.
- The exhibit hall is not carpeted. Exhibitors must provide flooring. Booths without floor covering will have carpeting installed by the general service contractor and charged at on-site rates.
- Aisles will be carpeted in black/grey “Tuxedo” carpet.
- Early move-in may be available on Sunday, March 15 for a limited number of exhibitors delivering directly to show site (early move-in is not available for warehouse shipments). Early move-in will incur an off-target fee.
- Targeted move-in for direct shipments begins Monday, March 16
- Booth installation for warehouse shipments also begins Monday, March 16

Booth Tear-Down
Dismantling begins: Saturday, March 21 at 1 PM
Crates from the general service contractor’s storage will be returned as soon as possible, and no later than 5 PM on Saturday.
⚠️ Do not leave your booth unmanned or unsecured during this window.
Tear-Down Access:
- Saturday, March 21: 1 PM – 9 PM
- Sunday, March 22: 8 AM – 5 PM
- Monday, March 23: 8 AM – 12 PM (Carriers must check in by 10 AM)
For All Exhibitors:
- NO early tear-down is permitted before 1 PM on Saturday, March 21. Early dismantling is subject to penalties.
- Move-outs on Saturday or Sunday will incur overtime material handling charges.
- Weekday services after 4:30 PM will also be charged at overtime rates.
- Exhibitors remaining past designated hours may stay with an approved pass but will not be readmitted if they leave.
Important:
Do not remove any items from the floor that do not belong to your company. All incidents are treated as theft and may be recorded.
Any remaining exhibits will be dismantled, packed, and shipped by the general service contractor at the exhibitor’s expense.

Safeguarding Exhibits
- Security guard monitoring begins Monday, March 16, at 8 AM and ends no later than 12 PM on Monday, March 23.
- Exhibitors are responsible for the safety of their booth and belongings. HPBA Show Management is not liable for stolen or damaged items.
- Pack small, valuable items each day.
- Individual booth security can be arranged through forms in the Exhibitor Service Manual.
Equipment Removal Passes are required for anything taken from the exhibit hall. These can be obtained from:
- Main Entrance security
- HPBA Member Services Booth
- Badge Registration Area
Exhibitor Appointed Contractors must be registered in advance using the EAC Form. Special set-up/tear-down passes will be issued onsite.

Badge Pick-Up
All exhibitor personnel must register for badges to enter the show floor.
- Badge pick-up begins Wednesday, March 18 at 7:30 AM
- See your badge confirmation email for instructions.

Exhibitors are responsible for reading and understanding the Trade Show Rules & Regulations, part of the signed Exhibit Space Contract.
Key Reminders:
- Do not share exhibitor badges with non-employees or non-family
- No photography without permission from other exhibitors
- Children under 12 are not permitted on the show floor
- Submit an Ancillary Meeting Request Form for any Expo-related events
- Alcoholic beverages may be served after 12 PM by licensed caterers; Variance Request Form is required
- Respect booth boundaries and conduct yourself ethically. Report violations to security or HPBA staff.
