Exhibitor Forms
Welcome to the Exhibitor Forms page for HPBExpo26! While the complete Exhibitor Service Manual (ESM) will be available in early November, this page provides early access to key forms and resources managed directly by HPBExpo Show Management.
These forms are important for exhibitors with indoor or outdoor product burning, special requests, and required documentation. If your participation includes activities or setups that require prior approval, please review and submit the applicable forms below.

Available Forms
The following forms are now available for download and submission:
- Freeman Online
Place orders for flooring, furnishings, labor, shipping and more, with HPBExpo26’s official general contractor. Review pricing and details for move-in, move-out, and everything in between. NOTE: You will need to create an account with Freeman Online if you do not have an existing account. - Indoor Burning Request Form
Required for exhibitors planning to burn solid or gas fuels inside the exhibit hall. READ: Indoor Burning Requirements - Outdoor Burning Request Form
For exhibitors using the Outdoor Burn Area to showcase live-fire products. READ: Outdoor Burning Requirements & Outdoor Cooking Requirements - Insurance Requirements & Temporary Exhibitor Insurance Order Form
All exhibitors are required to submit a Certificate of Insurance. To purchase temporary coverage, click on the order form above. - Variance, Hanging Sign, Food/Bev. Approval Request Form
For exhibitors seeking permission to exceed height limits, use hanging signs in inline booths, or request other exceptions to display rules. - EAC (Exhibitor Appointed Contractor) Approval Form
Required if you’re hiring a third-party contractor (other than the official general contractor) to work on your booth. - Additional Listing Order Form
Purchase an additional brand or alternate company name to appear on the exhibitor list in the official HPBExpo26 mobile app.

Deadlines & Submission Instructions
Each form includes specific instructions and deadlines for submission. Please read carefully and return completed forms to the appropriate contact listed on each document. Early submission ensures a smooth planning process and helps avoid delays.
